This Privacy Policy explains how HelloWorkz CRM collects, stores, processes, and protects personal, business, customer, lead, billing, payment, and usage data.
1. Information We Collect
We may collect and process the following information:
- Account information such as name, email address, phone number, company name, login details, and workspace details
- CRM data such as leads, customers, follow-ups, tasks, quotations, orders, invoices, payments, transport records, notes, and attachments
- Website, landing page, product enquiry, contact form, and campaign form submissions
- Subscription and billing data such as plan, payment status, invoice details, payment transaction references, and account status
- Technical information such as IP address, browser/device details, logs, security events, and usage activity
2. Website, Landing Page, and Product Enquiries
HelloWorkz CRM may collect information submitted through HelloWorkz websites, landing pages, product pages, enquiry forms, contact forms, campaign pages, and public lead forms.
This may include name, phone number, email address, company name, product interest, message, location, lead source, campaign source, and related enquiry details.
3. Meta / Facebook / Instagram Lead Ads
When a business user connects their Meta account, Facebook Page, Instagram account, or Lead Ads form, HelloWorkz CRM may receive lead information submitted through Meta services.
This may include name, phone number, email address, custom form answers, page ID, form ID, campaign/ad metadata, timestamps, and lead source details.
We use this information only for CRM lead capture, customer follow-up, lead routing, reporting, and business communication. We do not sell Meta user data.
4. Google Leads and Google Services
HelloWorkz CRM may receive or process leads and related data from Google services such as Google Ads, Google lead forms, Google search campaigns, Google business enquiries, or other Google APIs enabled by the business user.
This may include customer contact details, campaign details, enquiry information, source tracking, and communication data.
Google data is used only for the purpose authorized by the business user, such as lead management, CRM follow-up, reporting, and service delivery.
5. IndiaMART Leads
If enabled by the business user, HelloWorkz CRM may receive and process enquiries or lead data from IndiaMART or related marketplace enquiry services.
This may include buyer name, company name, phone number, email address, product interest, enquiry message, location, requirement details, and source information.
This data is used for CRM lead management, sales follow-up, business communication, and reporting.
6. Razorpay Payments
HelloWorkz may use Razorpay or related payment gateway services to process online payments, subscriptions, invoices, recharge amounts, or other payment transactions.
Payment information may be processed by Razorpay according to its own privacy and security practices.
HelloWorkz CRM does not intentionally store sensitive card numbers, CVV, UPI PINs, net banking passwords, or full payment credentials.
We may store limited transaction information such as payment status, amount, invoice reference, transaction ID, payment mode, customer contact details, and payment confirmation details for billing, reconciliation, support, audit, and legal compliance.
7. Manual CRM Entries and Imported Data
Business users may manually add, upload, or import customer, lead, product, invoice, communication, or business data into HelloWorkz CRM.
The business user is responsible for ensuring they have proper rights and consent to upload or process such data.
8. How We Use Data
We use collected data to:
- Create and manage CRM leads
- Assign leads to the correct business, branch, user, or team
- Contact customers and respond to enquiries
- Track lead source, campaign source, and enquiry history
- Manage invoices, subscriptions, payments, and account status
- Provide reports, dashboards, automation, notifications, and business tools
- Improve platform reliability, security, and user experience
- Comply with legal, tax, audit, fraud prevention, and regulatory obligations
9. Data Sharing
We do not sell personal data.
We may share limited data only with:
- The business account or tenant that owns the lead or enquiry
- Authorized CRM users of that business
- Payment processors such as Razorpay for payment processing
- Integrated platforms such as Meta, Google, IndiaMART, or other services where required to provide the enabled integration
- Legal, tax, security, fraud prevention, or compliance authorities where required by law
10. Data Retention
We retain lead, enquiry, CRM, payment, and transaction data for as long as necessary to provide services, support the business user, maintain records, comply with legal obligations, resolve disputes, prevent fraud, and enforce agreements.
11. Data Deletion
Users may request deletion of their personal data received through HelloWorkz CRM, website forms, Meta Lead Ads, Google leads, IndiaMART leads, Razorpay-linked records, or other connected services.
